Microsoft 365 Management & Migration in Texas
Microsoft 365 is where most Texas companies keep their email, their files, and their meetings, and it is almost never configured the way the business assumes. Sentinel-Pros administers the tenant properly, hardens the parts attackers go after, and runs migrations off legacy mail or Google without losing a weekend. Delivery is remote across Texas, with on-site support available in the Houston metro.
The Problem
A tenant that was set up years ago by a departed employee or a reseller tends to accumulate quiet problems. Mailboxes belonging to people who left are still licensed and still reachable. Sharing links created for one contractor are still open to anyone who has the address. Multifactor authentication is on for some staff and skipped for the executives who most need it, because turning it on for them caused a complaint. Files sprawl across personal OneDrive folders where nobody but the owner can find them. The licensing bill grows every year and nobody can explain which plan does what. Business email compromise, still the most common way Texas companies lose real money, walks straight through exactly these gaps.
The Solution
We take administrative ownership of the tenant and start with an assessment against Microsoft's own security recommendations, then fix what matters in an order that does not disrupt work. That means multifactor for everyone including leadership, conditional access rules that reflect how your people actually work, mail flow and anti-phishing configuration tuned to real threats, and sharing controls that stop data leaking through forgotten links. Migrations from on-premises Exchange, a hosted mail provider, or Google Workspace are planned with a pilot group, a cutover window, and a rollback position. All of this is delivered remotely, which is why a company in Abilene gets the same engineering as one in Houston, and Houston clients can add on-site help for user training and device work.
Core Responsibilities
Secure The Tenant
Run It Day To Day
Migrate Without Drama
Engagement Process
Assess The Tenant
We review identities, licenses, security configuration, sharing, and mail flow, then hand you a written picture of what is exposed and what you are paying for twice.
Fix The Dangerous Parts
Unprotected accounts, legacy authentication, open sharing links, and orphaned mailboxes get addressed first. These are the items that turn into a wire fraud loss.
Structure And Standardize
Teams, SharePoint sites, and permission groups are organized around how your business is actually run, with naming and access rules your staff can follow without training sessions.
Operate And Review
Ongoing administration continues while quarterly reviews cover license consumption, security posture changes from Microsoft, and new features worth turning on or leaving off.
Where We Deliver This
Common Questions
We are on Google Workspace. Is moving to Microsoft 365 worth the disruption?
Only if there is a business reason, such as software that depends on the Office desktop applications, a customer or regulator expecting Microsoft security controls, or an operations team already living in Teams. If Google is serving you well, we will say so and manage that instead.
Will a migration take our email offline?
A properly planned migration moves mail in advance and switches delivery in a short window, usually outside business hours. Users may need to reopen Outlook and re-enter credentials. We run a pilot group first so the surprises happen to a handful of people who expect them.
Our owner refuses multifactor authentication. How do you handle that?
Executive accounts are the primary target for invoice and wire fraud, so exempting them defeats the purpose. Modern options, including authenticator approvals and trusted devices, remove most of the friction, and we would rather spend twenty minutes setting that up than explain a fraudulent payment later.
Can Microsoft 365 satisfy HIPAA or CMMC requirements?
The platform can support those obligations, but only with the right plan, the right configuration, and the right agreements in place, and for some defense work a government community tenant is the correct answer. We assess which of those applies before anything gets promised to an auditor or a prime contractor.
Are we overpaying for licenses?
Frequently. Common findings include licenses assigned to departed staff, business plans where a cheaper option would serve, and features being bought separately that are already included. We review consumption against what your people actually use and adjust at your renewal.

BOOK A CONSULTATIONAcross Texas
Microsoft 365 is the default platform for Texas industry, and each sector stresses a different part of it. Energy companies in Houston and Midland route contracts, invoices, and joint venture paperwork through email, which makes them prime targets for the impersonation and payment redirection attempts that follow every large transaction. Engineering and construction firms working across the Metroplex and the Gulf Coast collaborate with owners, architects, and subcontractors through shared sites, so external sharing controls are the difference between collaboration and a slow data leak. Medical practices and multi-site clinics around the Texas Medical Center, San Antonio, and rural counties need mail handled in a way consistent with HIPAA, including retention and encryption of messages carrying patient information. Defense and aerospace suppliers near Fort Worth, Killeen, and San Antonio must consider where data physically resides and whether a government community tenant is required before a prime contractor asks. Border trade and logistics companies in Laredo, El Paso, and the Rio Grande Valley coordinate with brokers and carriers across time zones and cannot afford a mail outage during a crossing window. Nonprofits and school-adjacent organizations statewide qualify for discounted licensing they are often not using. The right configuration is different in each case, and it is almost never the one that shipped by default.
