Microsoft 365 Management & Migration in Houston

Microsoft 365 is where your email, your documents, and increasingly your identity live. We configure it properly, secure it, keep licensing honest, and move you onto it without losing history or a day of productivity.

The Problem

Most companies did not deploy Microsoft 365, they drifted into it. Someone bought licenses, mail got moved, and the security settings stayed at whatever the defaults were on the day the tenant was created. Legacy authentication is still enabled, external sharing on SharePoint was never scoped, global administrator rights were handed out to three people who no longer need them, and the license bill grew by a seat every time a contractor was added and never shrank when one left. Then a bookkeeper gets a convincing invoice email from a compromised vendor mailbox, and the question of who could have prevented it has no obvious answer.

The Solution

Sentinel-Pros administers your tenant as a managed service: identity, mail flow, device policy through Intune, sharing controls, retention, and license optimization. Migrations from on-premises Exchange, hosted IMAP, or Google Workspace are planned, staged, and cut over on a schedule that respects your business calendar, with mail, calendars, contacts, and shared drives carried across. This work is delivered remotely, which is the right fit for a cloud platform, and because we are a Houston firm we are available in person for the parts that touch people and hardware: floor day support at cutover, executive walkthroughs, and device enrollment.

WHAT'S INCLUDED

Core Responsibilities

Identity and Access

Multifactor authentication and conditional access rules that match how your staff actually work.
Administrative role cleanup so day to day accounts are not carrying tenant wide privileges.
Guest and contractor access with defined expiration instead of permanent open doors.

Mail, Files, and Collaboration

Exchange Online hygiene: mail flow rules, anti impersonation controls, and forwarding restrictions.
SharePoint and OneDrive structure with external sharing limits and version history that supports recovery.
Teams governance so channels, guests, and recordings do not accumulate without oversight.

Devices and Licensing

Intune enrollment with baseline device policies, encryption, and remote wipe for lost equipment.
License review that matches plan tiers to real usage and removes seats that stopped being used.
Third party backup of Microsoft 365 data, because Microsoft protects the platform and you remain responsible for the content.
HOW IT WORKS

Engagement Process

01

Tenant Review

We assess your existing tenant or your current mail platform: accounts, mailbox sizes, shared resources, licensing, security posture, and anything a migration would need to preserve.

02

Design and Pilot

Naming, security baselines, retention, and sharing rules are agreed in writing, then tested with a small pilot group that includes at least one skeptical power user. Pilots surface the exceptions no inventory ever shows.

03

Migrate and Cut Over

Data syncs ahead of time, the cutover happens outside business hours, and staff arrive to working mail with their history intact. We staff the first day heavily so questions get answered in minutes.

04

Manage Ongoing

The tenant becomes part of your managed service: new hire and departure processing, policy updates as Microsoft changes defaults, license true ups, and reporting on risky sign in activity.

FAQ

Common Questions

Will we lose old email during the migration?

No. Mail, calendars, and contacts are migrated with their history, and the source system stays intact until everyone confirms their data arrived. We keep a rollback position until the cutover is verified rather than deleting anything early.

Does Microsoft back up our data for us?

Microsoft keeps the service running and holds items for a limited retention window, but recovering a file set deleted three months ago or a mailbox destroyed by ransomware is your responsibility. We add third party backup for exactly that reason.

We are a healthcare practice. Can Microsoft 365 be used with patient information?

Yes, with the right configuration and a signed business associate agreement with Microsoft. Practices near the Texas Medical Center commonly run on it. The work is in the configuration: encryption, access controls, audit logging, retention, and restricting how information can leave the tenant.

Our staff work from rigs, jobsites, and home. Does that complicate things?

It is a large part of why the platform makes sense here. Conditional access, device compliance, and Intune managed enrollment let people work from anywhere while you keep control of company data on equipment that is not always in an office.

Are we paying for licenses we do not need?

Frequently, yes. Seats for departed employees, duplicate add-ons, and premium plans assigned to users who need a basic tier are common. A license review is part of onboarding, and the savings often offset part of the management fee.

Microsoft 365 Management & Migration for Houston, Texas

Houston has a particular relationship with Microsoft 365 because so much of the local economy runs on Microsoft tooling already. Energy operators, engineering firms, and the service companies in their supply chains standardized on Excel, Outlook, and Teams years ago, and their smaller vendors adopt the same platform simply to work with them. That pull matters when a twenty person fabrication shop in Pasadena or a survey firm off the Katy Freeway suddenly needs to share controlled documents with a customer in the Energy Corridor. Healthcare practices and research groups tied to the Texas Medical Center use the platform under business associate agreements and have to prove that access controls and audit logging are configured, not assumed. Logistics and customs brokers near the Port of Houston live in email all day, which makes them prime targets for invoice fraud aimed at payment redirection. Storm season adds one more reason: when an office is inaccessible, mail and documents already sitting in the cloud let a company keep working from wherever its people ended up. Getting the tenant configured correctly is the difference between a resilient business and a very convenient target.
