Google Workspace Management & Migration in Texas
Google Workspace is easy to start on and easy to outgrow without noticing. Sentinel-Pros administers it the way a business needs it administered: enforced sign-in security, shared drives that survive turnover, controlled sharing, and clean migrations in or out. Work is delivered remotely across Texas, and Houston clients can add on-site help for device work and staff training.
The Problem
Workspace often starts with a founder creating accounts as people are hired, and the habits from that stage stay in place long after the company is a real business. Documents live in individual My Drive folders, so when the office manager resigns her successor cannot find the insurance file, the vendor list, or three years of board minutes. Files were shared with anyone who has the link because that was the fastest way to send something to a client. Two factor sign-in is optional. Nobody reviews which third-party applications employees have connected to company data. The tools work well enough day to day, which is exactly why the underlying exposure goes unexamined until a departure or an audit forces the question.
The Solution
We take the administrative console seriously. Accounts move into organizational units that reflect your structure, mandatory two factor sign-in is rolled out with recovery planned in advance, and sharing defaults get tightened so links are not open to the internet by accident. Content moves out of personal drives into shared drives owned by the organization, which means departures stop taking institutional knowledge with them. Third-party application access is reviewed, retention and legal hold settings are set to match your obligations, and administrator rights are limited to the few people who should have them. Migrations to or from Microsoft 365, or consolidating several legacy domains into one tenant, are planned with a pilot and a rollback position. Everything here is remote work, so location within Texas has no bearing on the quality of the result.
Core Responsibilities
Lock Down Access
Own Your Content
Move Or Consolidate
Engagement Process
Audit The Console
We review users, administrator rights, sharing settings, connected applications, and where content actually lives, then show you the exposure in plain language.
Rescue The Data
Business-critical files sitting in personal drives are moved into shared drives with proper ownership, so no single employee's departure can strand a document.
Enforce Sign-In Security
Two factor sign-in is enabled in stages with communication and backup codes prepared, so enforcement day is uneventful instead of a flood of locked-out staff.
Administer And Review
We handle accounts, groups, and licensing as routine work, with periodic reviews of sharing exposure, admin rights, and any new Google controls worth adopting.
Where We Deliver This
Common Questions
Do we need to move to Microsoft 365 to look professional to enterprise customers?
No. Workspace can meet serious security expectations when it is configured and documented properly. What loses credibility with an enterprise procurement team is an unmanaged tenant with optional two factor and open sharing, and that can happen on either platform.
An employee left and we cannot find their files. Can that be fixed?
Usually yes, since a suspended account's Drive content can be transferred to a manager rather than deleted. The lasting fix is moving working documents into shared drives so ownership belongs to the company from the start.
Can Google Workspace be used where HIPAA applies?
It can, provided the correct agreement is in place with Google and the services handling patient information are restricted and configured accordingly. That is a specific setup, not a default, and we confirm it before any patient data goes near the platform.
Our staff use personal Gmail accounts for some work. Is that a problem?
Yes, because company records held in a personal account cannot be searched, retained, preserved for a dispute, or recovered when the person leaves. We migrate that content into managed accounts and give people a workflow that does not tempt them back.
How much of this needs someone on site?
Very little. Administration and migration are entirely remote, so a nonprofit in Lubbock and a firm in Houston get identical delivery. On-site help in the Houston metro is available for device setup and hands-on training when that is useful.

BOOK A CONSULTATIONAcross Texas
Google Workspace has a distinct footprint in Texas. Austin's startup and creative sector defaults to it, and so do many of the agencies, design studios, and software firms that grew out of that ecosystem and now employ people across the state. Nonprofits, foundations, and community health organizations from El Paso to East Texas adopt it for the discounted and donated licensing, then find themselves holding donor records and client information in a tenant nobody administers. Agricultural cooperatives, produce shippers in the Rio Grande Valley, and family ranching operations in the Panhandle often started on free consumer accounts and never formally migrated, which leaves crop contracts and payroll records in personal mailboxes. Charter school networks and training organizations run on Workspace because their staff already know it. Small engineering and professional services firms in San Antonio and the Metroplex pick it for cost, then win a contract with a defense prime or a hospital system and get asked questions about sharing controls, retention, and data ownership that the default configuration cannot answer. In each case the platform is capable of far more governance than it is doing. The gap is an administrator who treats the console as a business system rather than a place to add new email addresses.
