IT Onboarding & Offboarding in Texas
A new hire should log in on their first morning with the right accounts and the right access, and a departing employee should lose all of it before they reach the parking lot. Sentinel-Pros turns both into a checklist that runs the same way every time, triggered by a single request from HR or a manager. The process is remote, so it works identically in every Texas city, with on-site handover available in the Houston metro.
The Problem
In most companies the process starts with a message on a Friday afternoon saying someone begins Monday. Nobody knows which applications the role needs, so access is copied from a colleague, which quietly gives the new person everything that colleague accumulated over six years. Departures are worse. The manager tells payroll and forgets to tell whoever handles IT, so a mailbox stays live, a phone still receives company mail, a file sharing account still syncs, and the shared password to the bank portal never changes. Weeks later someone notices a licence is still being paid for. That gap between the last day and the last login is where disputes, data loss, and awkward legal conversations begin.
The Solution
We build an access profile for each role in your company, so onboarding means selecting a role rather than reconstructing a list from memory. One request from HR triggers account creation, group membership, mailbox and file access, software assignment, device build and shipment, and a welcome sheet for the employee. Offboarding runs the same way in reverse and starts with immediate sign-in revocation and session termination, then mailbox delegation to a manager, file ownership transfer, device recovery or remote wipe, licence reclamation, and a written record of everything that was disabled and when. Because all of this is remote, a new hire in Tyler and one in Katy get the same experience, and we schedule device collection or handover in Houston when that is more practical than shipping.

Define The Roles
We work through your org chart with department leads and record what each role legitimately needs. This is also the moment most companies discover how much access has quietly spread.
Build The Triggers
HR or the hiring manager submits one request through an agreed channel. That single form starts everything downstream so nothing depends on someone remembering to send a second message.
Run It The Same Way Every Time
Each onboarding and offboarding follows the checklist and produces a record of what was granted or revoked, by whom, and at what time.
Review Access Regularly
Periodically we compare who has access to who should, catching role changes, internal transfers, and contractor accounts that outlived the project they were created for.
Where We Deliver This
Common Questions
How quickly can access be cut for a termination happening this afternoon?
With an agreed emergency contact path, sign-in can be disabled and active sessions terminated in minutes, ahead of the conversation if you want it that way. Tell us the time in advance and we stage everything so the revocation lands exactly when you need it.
We hire seasonal crews in large batches. Does this scale?
Yes, and batch hiring is where the savings show up most. Role profiles plus a bulk request handle a group of temporary workers in one pass, and an expiry date set at creation means accounts close on schedule instead of lingering after the season ends.
What happens to a departing employee's email?
The mailbox is blocked from sign-in but preserved, then delegated or converted so a manager can answer client messages and retrieve what the business needs. Once retention obligations are satisfied, the licence is released.
Employees use their personal phones for work email. Can we remove company data?
Only if those devices were enrolled with a separation between company and personal data, which we set up as part of the process. That lets you wipe company mail and files from a personal phone without touching anything belonging to the individual.
Does documenting this actually matter to anyone outside IT?
It matters to auditors, to insurers, and to customers sending you security questionnaires. HIPAA, SOC 2, and CMMC all ask how access is granted and revoked, and a dated record for each employee is a far better answer than describing an informal habit.

BOOK A CONSULTATIONAcross Texas
Texas employers churn staff in patterns that make manual onboarding and offboarding dangerous. Oilfield service and construction firms scale crews up and down with project activity across the Permian Basin, the Eagle Ford, and the industrial corridor between Houston and Beaumont, adding dozens of workers in a month and releasing them just as fast. Agricultural operations in the Rio Grande Valley and the Panhandle bring in seasonal labor and temporary office help whose accounts should expire on a known date. Healthcare organizations across San Antonio, the Texas Medical Center corridor, and rural counties rotate travel nurses, residents, and per diem staff constantly while carrying HIPAA obligations on exactly who can reach patient records. Staffing agencies and professional services firms in Dallas and Austin place contractors inside client environments, which means access has to be provisioned and removed on somebody else's schedule. Defense suppliers near Fort Cavazos and in the San Antonio cyber cluster face contract requirements that ask directly for evidence of access control and timely revocation. Add the general mobility of the Texas labor market, where a skilled employee can leave for a competitor down the highway, and the risk becomes concrete: a former employee with a live login and a grievance. A checklist that runs identically every time, with a record of when access ended, is the practical protection.
