Data Analytics & Reporting in Texas
Leadership asks a small number of questions over and over: what did we make, what is committed, where is the labour going, who is late paying. Sentinel-Pros builds the pipelines and Power BI dashboards that answer those questions the same way every month, from sources you can point at.
The Problem
The numbers exist, but getting to them takes a person and three days. Somebody exports from the accounting system, somebody else pulls hours from the field application, a third file arrives from a vendor portal, and the whole thing is assembled in a spreadsheet that one employee maintains and no one else fully understands. By the time the report reaches the owner it describes a month that ended two weeks ago. Worse, two departments answer the same question differently because they define a job, a customer, or a completed sale differently, and nobody has ever written those definitions down. So meetings get spent arguing about whose number is right instead of deciding what to do about it.
The Solution
We start with the questions rather than the data, because a dashboard that answers nothing specific is just a wall of charts. Once the questions are agreed we settle the definitions in writing, then build pipelines that pull from the systems of record on a schedule, reconcile them, and land the results somewhere reportable. Power BI is the usual front end, structured so leadership gets a page that loads in seconds and analysts can go deeper when they need to. Where the underlying data is genuinely bad we say so and fix the intake process rather than building a dashboard that launders the problem. This is remote work, delivered for companies across Texas; Houston metro clients also get on-site working sessions, and elsewhere those run remotely with visits scheduled from Houston. Pricing is a fixed monthly retainer, scoped on a discovery call.
Core Responsibilities
Getting The Data Out
Agreeing What Things Mean
Reports People Actually Open
Engagement Process
Write Down The Questions
We interview the people who run the business and capture the questions they ask every week, along with the decision each one drives. Anything that does not change a decision does not earn a spot on the executive page, which is how dashboards stay readable.
Settle The Definitions
Before any pipeline is built we agree what counts as a job, a completed sale, a billable hour, and a period close. This step is unglamorous and it is where most reporting projects are actually won or lost, because ambiguity here produces two numbers and no trust.
Build The Pipeline
Extracts are automated, transformations documented, and refresh schedules set to match how fast decisions are made. Credentials and permissions are handled so a report never becomes a side door into data someone should not see.
Publish, Train, Maintain
We roll out the dashboards, sit with the managers who will use them, and adjust based on what they actually click. Source systems change and reports break, so ongoing maintenance is part of the arrangement rather than a surprise ticket next quarter.
Where We Deliver This
Common Questions
Our data is a mess. Should we clean it up first?
Partly. Waiting for perfect data means never starting, but building on top of a broken intake process just produces confident wrong answers. We usually find that one or two fields drive most of the trouble, fix how those are captured going forward, and are honest on the dashboard about where history is unreliable.
Does this have to be Power BI?
It is our default because most clients already own it through Microsoft 365 and because it handles both executive summaries and analyst work well. If your team already lives in another tool, or a vendor platform reports adequately on its own, we will say so. The pipeline work matters more than the front end.
Who maintains this after it is built?
We do, as part of the retainer, unless you want to bring it in house. Source systems get upgraded, vendors change export formats, and a field gets renamed by someone in operations. Reporting that nobody maintains degrades quietly, and people stop trusting it long before anyone reports it as broken.
Can you pull from an old system that has no modern integration?
Usually yes. Older accounting, dispatch, and shop floor systems often expose a database, a scheduled export, or a report file we can collect reliably. Occasionally a vendor genuinely locks it down, in which case we tell you early so the constraint shapes the plan instead of derailing it mid-project.
We are outside Houston. Does that complicate the project?
No. Analytics work is entirely remote, and the sessions that matter most, the ones where we pin down definitions with your leadership, run perfectly well on a video call. Sentinel-Pros is based only in Houston, so if a workshop is better in person outside the metro, we schedule that trip in advance.

BOOK A CONSULTATIONAcross Texas
The questions leadership asks in Texas tend to follow the industry. An oilfield services company wants revenue and utilization per crew and per rig, and it wants them before the operator's payment terms make the answer academic. Commercial contractors and fabricators from the Gulf Coast to the Metroplex track job cost against estimate, because margin is decided in the field and discovered in the office. Healthcare groups, imaging centres, and home health agencies watch visit volume, denials, and days in accounts receivable, where a small drift becomes a serious cash problem within a quarter. Distributors and logistics operators along the border corridor at Laredo and El Paso measure loads, dwell time, and clearance exceptions. Manufacturers want scrap, downtime, and on-time delivery in numbers a customer audit will accept. Agricultural operations in the Panhandle and the Coastal Bend combine equipment telemetry, input costs, and yield data that live in three unrelated platforms. Austin and Dallas software firms watch pipeline, churn, and cost to serve. In almost every one of these cases the data already exists inside systems the company pays for, split across an accounting package, a field application, and a vendor portal that do not talk to each other. Getting them into one honest view is the work.
