VoIP & Unified Communications in Katy

A phone system should follow your people rather than your building. We design the call flow, prove the network can carry it, port your numbers without dropping a call, and support the thing afterward instead of handing you a portal login and disappearing.

The Problem

The phone estate in a growing Katy company tends to accumulate rather than get designed. There is a system inherited from the previous suite, a handful of cell numbers customers have learned to call directly, a main line whose menu was recorded by someone who left, and a voicemail box nobody checks. Calls reach the wrong person or nobody at all, staff working from a truck or a second office cannot be reached on the business number, and when a customer complains that they called twice there is no record to check. Meanwhile the bill from the old provider covers lines that were disconnected two moves ago and nobody has had time to unpick it.

The Solution

Sentinel-Pros starts with the call flow, not the handsets, because how a call should travel is a business question and everything else follows from it. We inventory your numbers, lines, and contracts, design routing that matches how your team actually works across offices, home, and vehicles, and check whether your internet circuits and internal network can carry voice cleanly before anything is committed. The new platform is built and tested in parallel with the old one, then numbers are ported on a planned date with the old service kept alive until traffic has genuinely moved. Configuration and support are remote, and since Katy is inside our on site service area we are there for the cutover, the handset placement, and the first day when the front desk has questions. Pricing is scoped on a discovery call and delivered as a fixed monthly retainer.

WHAT'S INCLUDED

Core Responsibilities

Getting the design right before you port

A full inventory of numbers, lines, contracts, and the cell numbers your customers have quietly started using as the main line
Call flow design covering business hours, after hours, holidays, overflow, and what happens when the first two people do not answer
Platform selection between Teams Phone and a hosted VoIP provider, judged on how your staff actually work rather than on which is fashionable

The network underneath the calls

Assessment of your internet circuits, firewall, and switching to confirm voice will hold up at your busiest hour, not just during a quiet test
Quality of service configuration and, where needed, cabling and wireless corrections so calls do not break up when the office fills
A second path for voice where the business cannot tolerate a single circuit failure, with the failover behaviour tested rather than assumed

Life after cutover

Handsets, headsets, softphones, and mobile apps set up per role, including field staff who need the business number to travel with them
Call reporting so you can see volume, answer rates, and missed calls by line, which is usually the first time anyone has that view
Ongoing support, moves and changes, and a review as headcount and locations shift, with one number to call when something is wrong
HOW IT WORKS

Engagement Process

01

Audit the lines and the bills

We collect every number, circuit, and contract, including the ones nobody remembers signing, and compare them against what is actually in use. This step routinely finds lines being paid for that were abandoned during a previous move.

02

Map how a call should travel

Working with your front desk and operations people, we write down what should happen to each type of call at each time of day. Getting this agreed on paper first is why a cutover feels dull instead of dramatic.

03

Build in parallel and test

The new system is built alongside the old one and tested with real staff on real scenarios, including transfers, overflow, and the after hours path. Nothing is ported until the team has heard it work.

04

Port, cut over, stay close

Numbers port on a scheduled date with the old service left running until traffic has fully moved. We are on site for the switch and available through the first week, when the questions that never came up in testing arrive.

FAQ

Common Questions

We are opening a second location on the Grand Parkway. Does the phone system have to change?

Not if it is built properly the first time. A modern system treats a second office as another group of users on the same platform, so extensions, transfers, and the main number work identically at both sites. It is worth designing for the second location before you sign the lease, because it costs nothing extra to plan for and a great deal to retrofit.

Our current provider already handles this. Why involve another firm?

Because a carrier sells you service and answers questions about their service. They will not tell you that your firewall is mishandling voice traffic, that your call flow sends after hours calls into a dead voicemail box, or that four lines on your bill go nowhere. We work for you across the whole picture, including holding the provider to account.

How long does a cutover take and how much downtime should we expect?

Porting is scheduled in advance and the new system runs in parallel beforehand, so the intended answer is no downtime at all: calls simply begin arriving on the new platform. Ports themselves depend on the losing carrier and can take longer than anyone would like, which is why the old service stays active until traffic has moved. We plan cutovers away from your busiest days.

Can we record calls, and should we?

The technology supports it and many businesses find it valuable for training and for settling disputes about what was promised. Whether you should depends on your industry and your obligations, and if you handle patient or payment information there are places recording must not happen. We configure it deliberately with those exclusions rather than switching it on everywhere.

Our front desk is the busiest role in the building. Will this make their day harder?

Only if it is designed without them, which is why they are in the design sessions. A well built flow reduces their load by handling routing, after hours, and repeat questions that currently land on them. We train that role first and check in with them specifically after the first week.

VoIP & Unified Communications for Katy, Texas

Communications problems in Katy are shaped by geography and growth. Companies here operate across a wide footprint: an office off I-10 at the west end of the Energy Corridor, crews and technicians working out toward Fulshear and Brookshire, and staff who live north of the Grand Parkway and increasingly work part of the week from home. A phone system tied to a single building fails all three groups at once. Engineering and energy services firms need calls from operators and prime contractors to reach the right project person quickly regardless of where that person is sitting, and they need a record when a question arises about what was agreed. Medical and dental practices around Houston Methodist West and Memorial Hermann Katy live and die on scheduling calls, where hold times and abandoned calls translate directly into empty appointment slots, and where recording and call handling have to respect patient privacy. Retail and restaurant operators near Katy Mills and LaCenterra need simple, reliable handling of high inbound volume with clean routing between locations. West side expansion also means offices move and grow often, so a system that treats a new suite or a second site as a routine change rather than a project saves real money. Katy is within our on site area, so we are physically present for cutover day.
